PLEASE READ THESE TERMS & CONDITIONS CAREFULLY. When you access, browse and/or use this website (including the ordering of products through this website), you are agreeing to be bound by all of the terms & conditions stated below and all applicable laws.

If you do not agree with any change, modification or amendment Print Phantom may make to the Site Terms, you may withdraw your consent to be bound to the changes by notifying Print Phantom in writing immediately. If you withdraw your consent, however, you must immediately discontinue your use of your account and this website. Your account will be deactivated and you will no longer be eligible to use this website or order further products or services from Print Phantom. If your account is deactivated, this will not affect your responsibility for payment of jobs already completed and/or in production.

Note: As more fully explained below, Print Phantom reserves the right to change, modify or amend these terms and conditions without prior notice. Your continued use of this site is and shall be deemed to be your agreement to be bound by any such modifications, alterations or updates.

Modification of Site Terms

Print Phantom reserves the right to modify, change and/or amend the Site Terms (these Terms and Conditions and/or one, more or all of the additional terms and policies referenced above) from time to time. The right to modify, change and/or amend the Site Terms is exclusive to and within the sole and exclusive discretion of Print Phantom.

If the Site Terms are changed, modified and/or amended, Print Phantom will post the new terms on this website and the "last updated" date relevant to the terms and conditions containing the change will be changed. Any changes, modifications and/or amendments will be effective upon the posting of the revised terms to this website.

By agreeing to these Site Terms you are also agreeing that the posting of any such changes constitutes notice to you of the changes, modifications and/or additions and you acknowledge that it is your responsibility to review these Site Terms (and each of the components thereof) each time you visit or use this website.

If you do not agree with any change, modification or amendment Print Phantom may make to the Site Terms, you may withdraw your consent to and agreement to be bound to them by notifying Print Phantom in writing immediately. The fact that on one or more occasions Print Phantom has elected to notify you via such additional means does not constitute an agreement of any kind by Print Phantom that it will do so in the future; the posting of modifications, changes and/or amendments to this website remains effective notice of such modifications, changes and/or amendments.

Electronic Communication

Your use of this Website constitutes your agreement and consent that Print Phantom may communicate with you electronically for all purposes. This includes all legal and notice requirements. Such electronic communications may take the form of postings to this Website and/or e-mails forwarded to the e-mail address you provide when you register with Print Phantom.

You may withdraw your consent to receive electronic communication at any time, but if you withdraw your consent it will only be effective prospectively (not for jobs already ordered or in production). Your account will be deactivated and you will no longer be eligible to use this Website to order further products or services from Print Phantom. If your account is deactivated, you will remain responsible for payment of print jobs already completed or in production.

This electronic document, together with any other electronic documents, policies and guidelines incorporated herein, as well as any e-mail communication with you, will be deemed for all purposes to be a "writing" or "in writing," and shall comply with all statutory, contractual, and other legal requirements for a writing. All such electronic documents shall be legally enforceable as a signed writing as against the parties subject to the electronic documents. They shall be deemed an "original" when printed from electronic records that have been established and maintained in the ordinary course of business. Electronic documents that are established and maintained in the ordinary course of business shall be admissible in judicial, arbitration, mediation or administrative proceedings to the same extent as other records in written form that are similarly established and maintained.

Site Use

You are being provided with a limited license to use this Website and Site Content solely for the purpose of assessing the product and service offerings on the Website, and placing orders for the products and services offered by Print Phantom via this Website. You are not conveyed any right or license by implication, estoppel, or otherwise in or under a patent, trademark, copyright, or proprietary right of Print Phantom or any third party.

You may not use any meta-tags or other "hidden text" utilizing Print Phantom's name or trademarks without Print Phantom's express written consent. Unless you receive Print Phantom's express written consent, you may not:

  • Resell or make any other commercial use of this Website (or any portion thereof), or the Site Content;
  • Modify, adapt, translate, reverse engineer, decompile, disassemble or convert into a readable format, any part of this Website or its underlying HTML or other code (except as it may be interpreted and displayed by a web browser for purposes of using the Website);
  • Copy, imitate, mirror, reproduce, distribute, publish, download, display, perform, post or transmit any Site Content (including any Print Phantom trademarks) in any form or by any means, including, but not limited to, electronic, mechanical, photocopying, recording or otherwise;
  • Make a derivative use of the Website and/or any Site Content; or
  • Utilize data mining, gathering or extraction methods such as bots, spiders, or other automated tools (whether directly or indirectly) to collect information from the Website or any user of the Website.

You agree to abide by these Site Terms and not to use the products and services offered by Print Phantom for any improper, illegal, unsolicited or unauthorized advertising, promotional materials, "junk mail," "spam," "chain letters," "pyramid schemes," or any other form of improper solicitation.

Print Phantom may terminate this license and your use of or access to this Website if you make or permit any unauthorized use of this Website or the information, Site Content, services, products and materials contained in or offered through this Website. Such actions by you may also violate applicable law including, without limitation, copyright laws, trademark laws (including trade dress), and communications regulations and statutes. We reserve the right to have all violators prosecuted to the fullest extent of the law.

Registration

In order to take advantage of the full functionality of this Website and to order products and services, it will be necessary for you to register and establish a membership account with Print Phantom. In the event that updated, new, additional and/or enhanced features are added to this Website, previously registered users will not generally be required to re-register; however, you may be required to re-acknowledge these Terms and Conditions and/or other terms that accompany such features.

When you register, you agree to provide accurate and current information about yourself (and your company) as requested. You also agree to update and maintain your account information so it remains accurate and current.

Not all products and services are available to all customers. Your access may be limited based on your relationship with us. You agree that you are only entitled to order products and services within the level assigned to you.

During registration, you will be required to create a User ID and password. It is your responsibility to keep your password confidential and secure. You are responsible for all activities under your User ID. If you believe your account is compromised, you should immediately change your password and notify Print Phantom.

Customer Provided Content

For certain products or services, you may submit data, text, photographs, graphics, or other materials (“Customer Content”) to Print Phantom for inclusion in printed products. You are solely responsible for all Customer Content you provide and warrant that you either own or have permission to use such materials. You agree to indemnify and hold Print Phantom harmless from any claims or costs arising out of content you do not have rights to.

Customer Content is stored for a maximum of fifteen (15) days from the date of order and may then be deleted. It cannot be used to place new orders and is only retained for possible reprints.

You agree not to submit any Customer Content that:

  • Is unlawful, threatening, abusive, defamatory, or obscene;
  • Infringes upon the rights of others including copyrights, trademarks, trade secrets, or privacy rights;
  • Contains viruses, malware, or any code that may harm systems or services;
  • Promotes criminal activity or violates U.S. laws;
  • You are not legally authorized to use or transmit.

Print Phantom reserves the right to review and remove any Customer Content at its sole discretion and to reject print jobs that violate the Site Terms. Print Phantom may also preserve or disclose Customer Content if legally required or to protect its rights and the safety of others.

All rights to Print Phantom’s original Site Content remain exclusively with Print Phantom, regardless of whether Customer Content is submitted or integrated into any product or service.

For orders requiring third-party customization (including packaging and labels), Print Phantom is not responsible once the order leaves its premises. Liability ends at the point of transfer to the third party.

Uploaded Content Requirements

We strongly recommend that content uploaded to Print Phantom for print fulfillment meets the following specifications:

  • Resolution: Minimum of 300 DPI at 1:1 ratio (100%). Content not meeting this standard may appear fuzzy or pixilated, and Print Phantom will not be responsible for such output. While we reserve the right to reject such content, we are not obligated to verify resolution.
  • Color Mode: Files should be designed and uploaded in CMYK color mode with no embedded color profiles. Uploading in RGB or other formats may result in color shifts upon conversion, for which Print Phantom is not responsible.

Color Quality

Print Phantom guarantees print quality that meets CMYK industry standards but does not guarantee precise color matching ("match-print" fidelity). Slight color shifts throughout an order are possible and normal.

Due to differences in monitor displays, we cannot guarantee the print colors will exactly match previews on your screen. Additionally, color shifts in black, near-black, or gray tones converted from RGB may occur and must be addressed before submission. Proofs are not guarantees for black or gray output accuracy.

Production Turnaround Time

Turnaround time varies by product. If not otherwise specified, standard turnaround applies. Turnaround times exclude shipping time. Your delivery estimate combines production and shipping times.

Once submitted, production time typically cannot be changed, and billing adjustments will not be made. Print Phantom offers various turnaround options, not all available for every product:

  • Same Day: For an additional fee, orders confirmed by 10:00 a.m. will be ready for pick-up/shipping by end of the same day. Orders after 10:00 a.m. will be processed the next business day.
  • Next Business Day: For a fee, orders confirmed by 10:00 a.m. will be ready the following business day.
  • Next Day Plus 1: For a fee, orders confirmed by 1:00 p.m. will be ready on the second business day after receipt.
  • 2–4 Day: Orders confirmed by 1:00 p.m. will be ready between the 2nd and 4th business day.
  • 5–7 Day: Orders confirmed by 1:00 p.m. will be ready between the 5th and 7th business day.

Please Note:

  • Pick-up is only available until 6:00 p.m.; orders completed after 5:00 p.m. may be picked up the next day.
  • Free delivery will occur on the next scheduled delivery day and does not combine with same-day production.
  • Same-day turnaround is only available for orders up to 500 quantity.
  • Same-day jobs may be printed on digital presses.
  • Turnaround does not begin until a job is deemed production-ready (e.g., approved proofs, no issues).
  • Group shipping may add at least one extra day to your turnaround time.

Over/Under Runs

Although we endeavor to ship the exact quantity ordered, Print Phantom reserves the right to ship up to 5% more or less than the requested quantity. If receiving a minimum quantity is essential, we recommend that you increase the quantity ordered to accommodate the possibility of an under run.

Order Approval / Proofing

Print Phantom is not obligated to proof or review the content or layout of your order. Even if a customer service representative has previously discussed aspects of an order, this does not imply that future orders will be reviewed.

All orders are printed exactly as submitted. The customer is solely responsible for reviewing and approving the final layout, spelling, grammar, and design before submission. Print Phantom does not make any changes to customer files under any circumstances.

By submitting an order, you confirm that you are fully satisfied with the content and layout, and accept full responsibility for any errors such as:

  • Misspellings, grammatical mistakes
  • Incorrect or missing graphics
  • Transparency issues or overprint problems
  • Improper layout, bleeding, cut/fold/die lines, or crop marks
  • Font problems or sizing issues

Proofs are only provided if specifically requested during the order process and if available for the selected product. If a proof is requested:

  • It is your responsibility to verify all content against the original file.
  • The job will not be considered production-ready until written approval of the proof is received.
  • Turnaround time begins only after proof approval, which may affect delivery timelines.

Promotions, Special Offers and Discount Coupons

From time to time, Print Phantom may offer promotions or special offers through the use of Coupon Codes. Each code may carry unique eligibility criteria and benefits. Be sure to carefully review the terms outlined in the email or coupon you receive, as all conditions must be met to redeem the promotion.

  • Coupon Codes are typically one-time use and limited to active Print Phantom account holders in good standing.
  • Offers may be restricted by account level or status and not all products may qualify.
  • To apply a promotion, enter the Coupon Code in the designated field at checkout.
  • If a Coupon Code is invalid for a particular product, it means that product does not qualify—this decision is final.
  • Coupon Codes may not be combined with other offers, discounts, or rewards.
  • They are only valid for products purchased via the Print Phantom website, and not applicable to third-party or affiliate sales.
  • Custom orders are excluded unless specifically authorized by Print Phantom.
  • Codes cannot be applied to taxes, shipping, handling, or miscellaneous fees.
  • Minimum purchase amounts exclude taxes, shipping, and handling charges.

If a discount is applied to a multi-item order, the total value of eligible items will determine the allocation of the discount. Some items may not qualify and will be excluded from the discount calculation.

Promotions are time-sensitive and will expire according to the date specified, or by the end of the month in which the code was activated, if no date is mentioned.

  • Coupon Codes have no cash value, are non-transferable, and will not be replaced if lost or deleted.
  • They cannot be applied retroactively to previously placed orders.
  • If your full order is canceled or returned, only the amount paid (excluding the value of the promotion) will be refunded.
  • If part of your order is canceled or returned, the promotion will apply only to the retained items.
  • Promotions cannot result in a credit balance; unused promotional value is void and non-refundable.

Print Phantom reserves the right to discontinue any promotion, offer, or coupon without prior notice and with immediate effect.

Payment

All prices listed on this Website are in U.S. dollars. Print Phantom currently accepts VISA, MasterCard, American Express, and Discover. We reserve the right to stop accepting credit cards from any issuer at any time.

To place an order with Print Phantom, you must provide a valid, authentic, and current credit card that you are authorized to use. By submitting this information, you represent and warrant that the details are correct and you are permitted to use the card. If your card information becomes invalid or you lose authorization, you must immediately provide updated information with a valid card.

Some transactions may require extended processing, which can affect your estimated delivery date.

All orders must be paid in full at the time of purchase unless otherwise agreed in writing by Print Phantom. If your payment is not authorized or is rejected, we reserve the right to cancel your order without notice or liability.

If you make changes to an existing order that incur additional charges, those charges will be billed to the card used for the original purchase or an alternate card you provide.

If we’ve agreed on an alternate method of payment and payment is not received within 5 business days of the due date, Print Phantom reserves the right to charge any valid credit card you have on file for the full outstanding balance.

Order Cancellation

Orders can be canceled at any point before they enter production. If you cancel early enough, a Print Phantom representative will inform you of any applicable cancellation charges. Please allow at least 10 business days for refunds to be processed back to your account.

Once an order has entered production or progressed beyond that stage, it cannot be canceled and no refund will be provided.

No refunds will be issued for logo or graphic design services.

If more than 45 days pass after placing an order and we have not received complete or usable files from you, Print Phantom reserves the right to cancel the order and refund any payment charged.

Price Match

  • If you find a lower online price on an identical item from another printer ("Competitor"), sign into your Print Phantom account and submit a Price Match request via email.
  • The quote must include a current screenshot from the Competitor's website clearly showing the item, quantity, features, size, and price. The screenshot must be dated within the last 30 days.
  • Print Phantom will review your request and respond within one business day. Price Match is not guaranteed. If the lower price cannot be matched, a best price offer may be provided.
  • You must request the Price Match before placing your order. Retroactive requests will not be accepted.
  • Approved Price Match requests are valid for 30 days from the approval date and cannot be reactivated once expired.
  • Price Match applies only to Print Phantom's regular print products available directly through the website at the time of your request.
  • Do not place your order until you receive email confirmation of the approved Price Match. Orders placed before confirmation will not be eligible for the matched price.
  • Print Phantom may limit the quantity of price-matched items, especially if the Competitor has a limit.
  • Price Match does not apply to special event prices (e.g., grand opening, anniversary, clearance, timed sales, holiday or liquidation sales).
  • Coupons, promotions, or additional discounts will not apply to price-matched items.
  • Loyalty reward points are still eligible for use on price-matched orders.
  • Price Match only applies to the product price; taxes and shipping/delivery fees are excluded.

We respond to valid copyright infringement claims under the DMCA. Infringement notices must be written (fax or mail only, not email) and include:

"Print Phantom" and related logos, designs, page headers, icons, and scripts are trademarks or trade dress of Print Phantom. These may not be copied or used without prior written consent. All other trademarks mentioned belong to their respective owners.

Restrictions on Use

Except as stated in these Terms, no material or Intellectual Property on this site may be copied, republished, distributed, downloaded, or used in any way without prior written permission from Print Phantom or the respective rights holder.

Software Usage

Any software made available through this Website is licensed to you by Print Phantom on a non-exclusive, limited basis for the sole purpose of ordering Print Phantom services. You may not copy, sell, modify, reverse-engineer, or create derivatives of this software. All rights remain with Print Phantom.

Disclaimer of Warranty / Limitation of Liability

Governing Law

These Site Terms and your use of this Website shall be governed by and construed in accordance with the laws of the State of Texas, without giving effect to any conflict of law provisions. Regardless of your location, you agree that any legal action arising out of or related to these Terms or your use of this Website shall be filed and resolved exclusively in the federal or state courts located in Dallas, Texas. You irrevocably consent to the jurisdiction and venue of these courts. This agreement explicitly excludes the application of the United Nations Convention on Contracts for the International Sale of Goods.

Indemnification

You agree to indemnify, defend, and hold harmless Print Phantom, its parent company, officers, directors, employees, shareholders, agents, affiliates, subsidiaries, suppliers, and representatives from any claims, damages, losses, costs, and expenses (including attorneys' fees) arising directly or indirectly from:

  • Your breach of any Site Terms
  • Claims that your Customer Content or any material submitted by you infringes upon third-party rights
  • Your activities conducted in connection with this Website or related to the services or products ordered

Security and Privacy

To complete transactions with Print Phantom, you may be required to provide personal data or other information through the Website. Print Phantom is committed to taking reasonable precautions to protect your data, including using secure servers and encryption technologies. However, due to the nature of the internet, absolute confidentiality and security cannot be guaranteed. Your data may be subject to interception or alteration by third parties. Termination

Print Phantom may suspend or terminate your account or access to services if it reasonably suspects a violation of the Site Terms. Additionally, Print Phantom reserves the right, without prior notice and at its sole discretion, to terminate your access to the Website for any reason or no reason. If your access is terminated, these Site Terms will still remain in effect.

Pricing

Since at least 2018, Print Phantom has absorbed increases in raw material costs, labor, and distribution expenses to shield customers from price hikes. While our production efficiencies have helped mitigate these increases, we continue to experience rising costs. Effective immediately, we will carefully review ongoing cost escalations and reserve the right to pass those costs on to our customers as needed.

Name and Address Changes

It is your responsibility to keep your Print Phantom account information, including name, email, phone number, and postal address, up to date. While Print Phantom is not obligated to do so, we may use National Change of Address (NCOA) data to update account addresses.

You can update your contact details by logging into your account at www.PrintPhantom.com, emailing [email protected], or calling us at 1-972‐418‐5253.

Legal documentation may be required for any name change. Print Phantom shall not be liable for any errors, losses, or damages resulting from your failure to update your account information.
